Service reminders in Fleet Watch are managed through the “Service Intervals” feature, which allows you to track and be notified about upcoming vehicle maintenance. Here’s a step-by-step guide to set them up:
Step 1: Configure Unit Counters
- Go to the Monitoring tab.
- Select the unit you want to set up service reminders for.
- Open unit properties (click the wrench icon.)
- Navigate to the General tab.
- Check the counter settings and enable the Auto option for mileage and/or engine hours counters (note: in most cases, Fleet Watch set this up for you when we install your devices.)
Step 2: Create Service Intervals
- In unit properties, go to the Service Intervals tab.
- Click New to create a new interval.
- Enter the service name (e.g., “Oil Change”, “Tyre Rotation”, “Registration”, etc.)
- Add a description if desired.
- Set up the interval type(s):
- Interval by mileage: Enable and specify kilometres after which service should be performed (useful for most service specific tasks, such as oil and filter changes, fuel filters, tyre rotations, etc.)
- Interval by engine hours: Enable and specify engine hours after which service should be performed, great for assets that utilise engine hours instead of kilometres.
- Interval by days: Enable and specify days after which service should be performed – useful for items such as safety certificate expiries, registration expires, etc.
- In the Last service field for each type, specify when the service was last performed.
- In the Number of executions field, specify how many times the service has already been performed (if desired).
- Click OK to save the interval
Step 3: Create Notifications for Service Reminders
To receive alerts about upcoming maintenance:
- Go to the Notifications tab.
- Click Create.
- Select the unit(s) for which you want to receive notifications.
- Select Maintenance as the notification type.
- Choose when to be notified:
- Service term approach: To be notified before service is due.
- Service term expiry: To be notified after service is overdue.
- In the Service intervals field, specify the name of the service or use * for all services.
- Specify how many kilometres, hours, and/or days before/after the service to trigger the notification.
- Select notification actions (email, popup, etc.).
- Enter notification text (you can use tags like %SERVICE_NAME%.)
- Name your notification and click OK.
Step 4: View Service Status
You can view the status of service intervals in several ways:
- Unit tooltip: Enable “Maintenance state” in user settings.
- Extended unit information: On the Monitoring tab.
- Reports: Use the “Upcoming maintenance” table in reports (if you do not have this report and require it, please contact us.)
Step 5: Register Completed Maintenance
When maintenance is performed:
- Go to the Monitoring tab.
- Click the Register event button.
- Select Maintenance work as the event type.
- Select the service from the Maintenance dropdown.
- Fill in other details (cost, date, etc.) if desired.
- Click OK.
This will reset the service interval and start the countdown again.
Additional Tips
- You can create multiple service intervals for different maintenance types.
- Service intervals can be included in reports using the “Upcoming maintenance” and “Maintenance” tables (if you require these reports, please contact us and we will set them up for you.)
- The system will highlight overdue services in red.
