Create Service Reminders

Service reminders in Fleet Watch are managed through the “Service Intervals” feature, which allows you to track and be notified about upcoming vehicle maintenance. Here’s a step-by-step guide to set them up:

Step 1: Configure Unit Counters
  1. Go to the Monitoring tab.
  2. Select the unit you want to set up service reminders for.
  3. Open unit properties (click the wrench icon.)
  4. Navigate to the General tab.
  5. Check the counter settings and enable the Auto option for mileage and/or engine hours counters (note: in most cases, Fleet Watch set this up for you when we install your devices.)
Step 2: Create Service Intervals
  1. In unit properties, go to the Service Intervals tab.
  2. Click New to create a new interval.
  3. Enter the service name (e.g., “Oil Change”, “Tyre Rotation”, “Registration”, etc.)
  4. Add a description if desired.
  5. Set up the interval type(s):
    • Interval by mileage: Enable and specify kilometres after which service should be performed (useful for most service specific tasks, such as oil and filter changes, fuel filters, tyre rotations, etc.)
    • Interval by engine hours: Enable and specify engine hours after which service should be performed, great for assets that utilise engine hours instead of kilometres.
    • Interval by days: Enable and specify days after which service should be performed – useful for items such as safety certificate expiries, registration expires, etc.
  6. In the Last service field for each type, specify when the service was last performed.
  7. In the Number of executions field, specify how many times the service has already been performed (if desired).
  8. Click OK to save the interval
Step 3: Create Notifications for Service Reminders

To receive alerts about upcoming maintenance:

  1. Go to the Notifications tab.
  2. Click Create.
  3. Select the unit(s) for which you want to receive notifications.
  4. Select Maintenance as the notification type.
  5. Choose when to be notified:
    • Service term approach: To be notified before service is due.
    • Service term expiry: To be notified after service is overdue.
  6. In the Service intervals field, specify the name of the service or use * for all services.
  7. Specify how many kilometres, hours, and/or days before/after the service to trigger the notification.
  8. Select notification actions (email, popup, etc.).
  9. Enter notification text (you can use tags like %SERVICE_NAME%.)
  10. Name your notification and click OK.
Step 4: View Service Status

You can view the status of service intervals in several ways:

  1. Unit tooltip: Enable “Maintenance state” in user settings.
  2. Extended unit information: On the Monitoring tab.
  3. Reports: Use the “Upcoming maintenance” table in reports (if you do not have this report and require it, please contact us.)
Step 5: Register Completed Maintenance

When maintenance is performed:

  1. Go to the Monitoring tab.
  2. Click the Register event button.
  3. Select Maintenance work as the event type.
  4. Select the service from the Maintenance dropdown.
  5. Fill in other details (cost, date, etc.) if desired.
  6. Click OK.

This will reset the service interval and start the countdown again.

Additional Tips
  • You can create multiple service intervals for different maintenance types.
  • Service intervals can be included in reports using the “Upcoming maintenance” and “Maintenance” tables (if you require these reports, please contact us and we will set them up for you.)
  • The system will highlight overdue services in red.
